Finance and Admin Manager (part time) for The Marsden Jazz Festival

Marsden Jazz Festival is looking for a fixed-term Finance and Admin Manager to join the team for an initial period of 6-months. The role is primarily focused on overseeing the day-to-day operational responsibility for the good financial governance of the company and all related office tasks. This is a pivotal role within our team and requires a dynamic and strategic approach.

About Marsden Jazz Festival

Marsden Jazz Festival (MJF) is one of the UK’s longest-running jazz festivals. Held in the Yorkshire Pennine village of Marsden on the second weekend in October each year, the festival welcomes thousands of visitors for three days of live music and entertainment. We are also a charity and pride ourselves on working with the local and wider community to increase access to high-quality music and performance.

A strategic thinker is crucial for this role and we are looking for that individual that will ‘take the bull by the horns!’

The team at Marsden Jazz Festival is small and so we are looking for someone who is both suited to a small team working environment, and who is willing to get involved and help where needed across the festival.

The role is for 2-days per week fixed-term for an initial period of 6 months, with the potential to be extended subject to Arts Council England funding in the second half of the year.

This role is based in our fully accessible Marsden Jazz Festival office in the centre of Marsden with flexible home-working. Marsden Jazz Festival is a registered charity and company limited by guarantee. It was established in 1992 and is one of the UK’s longest-running jazz festivals.

Salary: £30,000 pa – Pro Rata

Job Role and Responsibilities

About the Job

We are looking for a candidate to work within our small festival team and with the trustees, wider festival committee and volunteers. You will be responsible for all the day-to-day operational responsibility for the good financial governance of the company, including all relative tasks in terms of this such as accountancy, bookkeeping, cash, donations, PayPal, reconciliation, annual returns and gift aid. You will act as company secretary ensuring the company remains compliant with HMRC, Companies House & Charity Commission. Along with the financials you will manage and be responsible for the admin in the office, its day to day running and responding/ managing the team email account.

Working alongside a small but passionate team, you’ll have the chance to offer and input processes to streamline efficiency. Strategic management is crucial for this role and we are looking for an individual that has experience they can bring to the role.

Tasks and responsibilities will include, but not limited to the following:

Financial:

Process payments through the bank online system and managing cash, income, donations and expenditure.
Managing all bookkeeping for MJF.
Running the payroll.
Facilitating the preparation of annual accounts in liaison with West Yorkshire Community Accounting Service
Act as Company Secretary, with responsibility record keeping and returns to Companies House and Charity Commission.
Arrange the annual gift aid claim.
Manage insurance policies.
Office Tasks:

Lead on business planning and the maintenance of organisational risk register.
Collaborate with the marketing team to develop and support efficient workflows for managing donations and relationships with supporters.
Support marketing team in finance tasks related to sponsorship and advertising.
Liaise with artists booked to perform at the festival. Liaise with the artistic director and marketing team to gather information from artists such as risk assessments, public liability insurance certification, PRS set-lists forms and riders from artists.
Issue contracts to artists and freelance workers (collaborate with Pennine HR on drafting contracts).
Arranging trustee & committee meetings - distribute dates, send agenda and minutes to attendees, take & prepare minutes at each meeting and ensure that minutes are organised on Google Drive for inspection by our accountants.
Managing the official Marsden Jazz Festival email account, replying to emails, forwarding to relevant persons etc.
Person Specification

Essential:

Have worked in a charity/not for profit organisation.
Experience preparing and managing budgets and operational reporting on budgets for trustees and funders.
Be proficient in spreadsheets (e.g. Google Sheets, Microsoft Excel) and accounting software (e.g. Quickbooks, Xero, SAGE etc.)
Experience of business planning and reporting.
Collaborating with diverse stakeholders within and outside the organisation.
Be a skilled communicator.
Excellent organisational skills with the ability to prioritise workloads effectively and also plan own time & workloads.
Ability to work collaboratively in a small team and independently on own tasks.
Desirable:

Previous experience working for a music/jazz festival
Previous experience of managing change
Previous experience of a changing working environment based on project-to-project budgets etc.
Previous work experience as a trustee or committee member for an arts organisation
In-depth knowledge of working with large sums of money and responsibility for financial management at a mid or senior level.
Over 5 years’ experience in a mid or senior level financial, business, administration or fundraising role.
